Construction company management software
Invoices from KSeF, projects, people, equipment and the works schedule in one place. Plan a project before you sign it. Four levels, all available now — you start with one. I run this software on my own construction sites. The software is in Polish.
Four levels: from invoice workflow to company portfolio
-
Level 1 — Invoices
What do I have to pay, and who approved it?
- Purchase invoices from KSeF (the Polish e-invoicing system) every half hour.
- Matches the supplier by tax ID (NIP); creates a new one from public registers.
- A materials invoice waits for proof of delivery (WZ) and a re-invoicing decision. A duplicate from KSeF will not get through.
- You assign a cost to a project, vehicle or machine; the equipment card tracks roadworthiness tests, UDT inspections and insurance — 30 days ahead.
- To pay: the total and what is past due, overdue first. Export for accounting: CSV with a VAT breakdown.
-
Level 2 — Constructionincludes level 1
What did this project cost, and what did I earn?
- Working time records and pay rates; medical checks, health and safety training and qualifications with expiry reminders.
- Sales invoices come in from KSeF automatically.
- Project settlement: costs, wages, revenue, result.
- Refuelling logged with an odometer photo, an alert on unusual fuel consumption, the environmental fee report.
-
Level 3 — Planningincludes levels 1–2
Is it going to plan?
- Contract cost estimate (TER): quantities and unit prices; the software reads the bill of quantities from a PDF.
- The project budget alongside the costs already recorded in the software. You plan an unsigned project before you submit a bid.
- You build the schedule yourself — dependencies, crew, weather warnings; an earlier version can be restored.
- Quality control: 32 report templates or your own; photos, even with no signal.
-
Level 4 — Managementincludes levels 1–3
Where will the whole company be in six months?
- Company portfolio: value of work done and costs of all projects, month by month.
- Financial forecast: company break-even, fixed costs, monthly result.
- Scenarios: what signing a project will change for the company.
Plans
You pay per company, not per user — office, accountant and site managers, all for one price. A document is a purchase invoice, and from level 2 also a sales invoice; I do not count attachments.
- purchase invoice workflow, KSeF, supplier database, vehicles and machines
- 300 documents a month included
- everything in level 1
- working time records, employee medical checks, health and safety training and qualifications, revenue, project settlement, refuelling and fuel
- 600 documents a month included
- everything in levels 1–2
- quality control, cost estimate (TER), project budgets, schedules
- 1,200 documents a month included
- everything in levels 1–3
- company portfolio, break-even point, fixed costs, contract pricing
- 2,400 documents a month included
Each additional block of 300 documents costs PLN 120. It is added based on a three-month average, a week after notice — and drops off on its own. The limit does not block the software.
Paying a year upfront costs ten months' fees. Onboarding is optional — for the first five companies I do it free of charge in exchange for a written reference; after that it is PLN 2,900 one-off.
